Privacy Policy
How EpanLabs collects, uses, stores, and protects information.

1. Who we are
This Privacy Policy explains how EpanLabs LLC (“EpanLabs,” “we,” “us,” or “our”) collects, uses, stores, and discloses information through epanlabs.com, Accountability Pulse, and other EpanLabs products or services that link to this policy (collectively, the “Services”).
2. Scope
This policy applies to the EpanLabs website and to products or services that link to it. Some future products may provide additional privacy notices where their data practices differ materially from those described here.
3. Information collected through the website
EpanLabs does not currently use website analytics, advertising pixels, contact forms, embedded media, or non-essential cookies on epanlabs.com.
Our hosting and security providers may still process ordinary technical information needed to deliver and protect the website, such as IP address, browser and device information, requested pages, timestamps, and server or security logs.
4. Information collected through Accountability Pulse
Accountability Pulse operates as a Telegram bot. Depending on how you use it, we may process:
- Your numeric Telegram user ID, used to associate your account with your goals and check-ins.
- Your time zone and bot settings, including check-in preferences and configuration choices.
- Goal text, success criteria, deadlines, check-in times, strictness settings, goal status, and completion or abandonment reasons.
- Messages and commands exchanged with the bot.
- Check-in dates, times, and statuses.
- Limited AI-generated observations about patterns, progress, obstacles, wins, or recurring themes that may help make future check-ins more relevant.
Telegram may provide the bot with basic account information as part of its platform operation. EpanLabs does not intentionally store Telegram names, usernames, profile photos, or phone numbers as separate Accountability Pulse profile fields. Accountability Pulse does not request your phone number.
Please avoid including sensitive personal information, such as full names, addresses, passwords, financial details, or health information, in goals, success criteria, or messages.
5. How we use information
- Provide and operate the Services.
- Associate your Telegram account with your goals, settings, and check-ins.
- Schedule reminders and check-ins.
- Generate bot responses and maintain conversational context.
- Record progress and provide history within the product.
- Improve reliability, troubleshoot errors, prevent misuse, and protect the Services.
- Comply with legal obligations and enforce our Terms of Use.
6. How information may be shared
We may share information with service providers that help us host, operate, secure, and support the Services.
We may also disclose information where reasonably necessary to comply with applicable law, legal process, or a valid governmental request, or to protect the security and integrity of the Services.
7. AI-assisted processing
Accountability Pulse uses Venice AI to generate certain responses and support limited observations that may make future check-ins more relevant.
Depending on the interaction, information sent for this purpose may include your goal text, success criteria, deadline, strictness setting, recent messages exchanged with the bot, and a limited number of previously generated memory entries.
We do not intentionally send your name as a separate field. However, information you choose to include within a goal, success criterion, or message may be included in content processed by the AI service.
Venice AI processes requests under its own applicable terms and privacy documentation. EpanLabs may change AI or infrastructure providers as the Services evolve and will update this policy when required.
8. Telegram
Accountability Pulse operates through Telegram. When you interact with the bot, Telegram transmits messages, commands, your numeric Telegram user ID, and certain basic account information as needed for the service to function.
Telegram independently processes and may retain information associated with your use of its platform under Telegram’s own terms and privacy policy. Deleting data from EpanLabs does not automatically delete messages or other information retained by Telegram. You can manage or delete your Telegram chat separately through Telegram.
9. Service providers
- Supabase for application database services.
- Railway for application hosting and operational infrastructure.
- Venice AI for AI-assisted processing.
- Telegram as the platform through which Accountability Pulse is delivered.
- Website hosting and security providers for epanlabs.com.
These providers process information on our behalf or as independent platform providers under their own terms, agreements, and privacy practices.
10. Data retention
- Accountability Pulse profile information, goals, settings, and AI-generated memory entries are retained until the user deletes their data.
- Full user and bot message content stored by EpanLabs is automatically deleted after 90 days.
- Resolved check-in records are automatically deleted after 90 days.
- Limited operational logs are retained for a restricted period under our service providers’ normal log-retention schedules.
We may retain information longer where reasonably necessary to comply with law, resolve disputes, investigate misuse, or protect the Services.
11. Resetting and deleting data
You can use /reset_progress to reset progress information and /delete_data to delete your Accountability Pulse profile, goals, stored messages, check-ins, and AI-generated memory entries from our active application databases.
Limited copies may remain temporarily in restricted backups or operational logs until they expire under our service providers’ normal retention schedules. We do not use those residual copies for ordinary product operations.
Deleting data from EpanLabs does not automatically remove messages or related information retained by Telegram. You can manage or delete your Telegram chat separately through Telegram.
12. Sale of information and advertising
EpanLabs does not currently sell personal information or use Accountability Pulse data for targeted advertising. EpanLabs does not currently use advertising pixels or behavioral advertising technologies on epanlabs.com.
If these practices change, we will update this policy and provide any choices required by applicable law.
13. Security
We use administrative, technical, and organizational measures intended to protect information against unauthorized access, loss, misuse, or alteration. These measures include limiting stored identifiers, restricting the information included in operational logs, and using masked identifiers where appropriate.
No system or method of transmission is completely secure. We therefore cannot guarantee absolute security.
14. Your privacy choices and rights
Depending on where you live, applicable law may give you rights regarding your personal information, such as the right to request access, correction, or deletion.
We may ask for reasonable information to verify your request and may limit or deny a request where permitted by law. You may also use the in-product deletion controls described above.
15. Children’s privacy
The Services are intended for adults, and Accountability Pulse is only for users who are at least 18 years old. The Services are not directed to children.
If we learn that a user is under 18, we may suspend access and take reasonable steps to delete information associated with that user.
16. International users
EpanLabs LLC is based in the United States. If you use the Services from another country, your information may be processed in the United States and in other locations where our service providers operate. The privacy and data-protection laws in those locations may differ from those where you live.
17. Changes to this policy
We may update this Privacy Policy as the Services, legal requirements, or our practices change. The “Last updated” date at the top of the page will show when the policy was most recently revised. Where required, we will provide additional notice of material changes.
